1. Where is the document editor used?

  The official document editor is different from our other online document editors. It is basically limited to the editing and viewing of red-headed documents in the official document system. It stipulates standard formats, fonts, line spacing, text, etc., and the degree of editing freedom is relatively low. O2OA's official document editor is suitable for processing red-headed documents, or document editing with very strict format requirements. For the online document editing function in other cases, we can choose other products such as OnlyOffice and WPS, and you can find related content in our document library.

2. Introduce the style of the standard red header file

  The format specifications in the O2OA document editor are set with reference to the national standard (GB/T9704—2012). The following briefly explains the composition and related format specifications of the red header file.

  A standard red header file basically looks like this:

  Of course, the format of different languages ​​will be slightly different, but the main elements are basically the same. Below we give a brief description of each standard required by the specification.

layout of official documents

  The paper used for official documents shall be A4 paper, with a format size of 210mm x 297mm.

Margin and heart size of official documents

  The top (top white edge) of official document paper is 37mm (equivalent to about 104.9pt), the staple (left white edge) of official document paper is 28mm (equivalent to about 74.9pt), and the core size is: 156mm x 225mm. It can be calculated that the lower white border is: 35mm (equivalent to about 99.2pt), and the right white border is: 26mm (equivalent to about 73.7pt).

Font and font size of official documents

  Without special instructions, all elements of official documents generally use the No. 3 imitation Song font.

Number of lines and words of official documents

  22 lines per page, 28 characters per line.

Document text color

  Unless otherwise specified, the text in official documents is all in black.

  The content of the page header includes: copy number, confidentiality level and confidentiality period, degree of urgency, logo of the issuing authority (red head), document number, and issuer.

  Arranged in the top grid in the upper left corner, the part number generally uses 6 Arabic numerals and 3 boldface characters.

  There are two blank lines under the logo of the issuing agency, the upper line is arranged with one word on the left, and the parallel text is arranged in the middle. Use No. 3 imitation Song font.

  Only the above text should bear the name of the issuer. There are two blank lines under the logo of the issuing authority, consisting of the three characters "Issuer" plus a full-width colon and the name of the issuer. The word "Issuer" shall be in No. 3 imitation Song Dynasty font, and the name of the issuer shall be in No. 3 italic font. For multiple issuers, two names shall be arranged in each line.

main body

The main part includes: title, main letter, main text, description of attachments, signature of issuing authority, date of writing, seal, and notes.

title

  Generally, No. 2 Song typeface is used, arranged in the center in one or more lines. As for the position of the title, the specification states that there are two blank lines below the red line, but in actual use, almost all customers of the project have given feedback that the title is required to have one line below the red line, so now the default template of the document editing component is set to be below the red line Blank line for headings. This rule can be modified through a custom template.

Main sending unit

  Leave a blank line below the title, in the top left space. The last unit name is followed by a full-width colon, using No. 3 imitation Song font.

text

  Use No. 3 font imitating Song Dynasty, arrange it on the line below the name of the main delivery unit, leave two characters in the left space of each natural paragraph, and return to the top line of the line.

Attachment description

  If there are attachments, put a blank line under the main text, arrange the word "attachment" in the left space, followed by a full-width colon and the name of the attachment. Multiple attachments are numbered with Arabic numerals. When the attachment name is long and needs to be returned, it should be aligned with the first word of the attachment name on the previous line.

The signature of the issuing authority and the date of writing

  The date of writing is generally arranged with four characters on the right, and the issuing authority is above the date of writing, and the date of writing is the center of the arrangement.

  The signature of the issuing authority is longer than the date of writing, and the signature of the issuing authority is arranged with two characters on the right.

  Use No. 3 imitation Song font.

notes

  If there are notes, the word Juzuokong is added in parentheses, and the font of No. 3 imitation Song Dynasty is used.

edition

  The contents of the imprint include: copy unit, issuing unit and date of issue. The edition note should be placed in the last position on the last page.

Separators in imprint

  The dividing line is equal to the width of the core, the first dividing line and the last dividing line use a thick line, and the middle dividing line uses a thin line.

CC unit

  Generally, the No. 4 imitation Song font is used, and the left and right spaces are arranged with one word.

Issuing unit and date of issue

  Generally, No. 4 imitation Song font is used, with a space on the left side of the printing and distribution authority and a space on the right side of the printing and distribution date.
